Work Order Interactive Display

Overview

The Work Order Interactive Display is an interactive display that allows the user to:

  • View whether techs are clocked in or out of work orders
  • Clock in/out  ​
  • Create new WO if granted permission.
  • View WO barcode on screen
  • Print WO
  • View/assign defects
  • View asset warranty
  • Interact with Inspection check list tasks and parts list
  • Add labor or Outside records if granted permission
  • Create/View Notes
  • Edit Vehicle status

Work Order Grid

The grid shows all open Work Orders with their descriptions and information about who is clocked in to them, how long the vehicle has been down and, based on the estimated work completion time entered in the Work Order entry, will calculate the Estimated Completion Time and the % of time passed from when the tech clocked into the Work Order. If the estimated completion time is 4 hours and the tech has been clocked into the work order for 1 hour, the % Comp will show 25%. This will add all the labor entries for that work order number.

When changes are made to Work Orders, they reflect on this display: for example, when a new Work Order is created, changes are made to Asset Status, or an employee "clocks in" to a Work Order, etc., these changes show on the display. The Work Order Interactive Display auto-rotates pages from 1st to 2nd to 3rd at a given interval and stays open past the standard ETMS session timeout.

The data on the display is organized in the following columns: WO #, Asset #, Asset Type, Open Date/Time, Down Time, Work Description, Assigned To, Employee, Time Started, Oper Code, and Completion Status.

NOTE: This display defaults to Vehicle Work Orders with 10 records displayed, but can be configured to display different Asset Types, display a different number of records, and change the interval that the pages automatically rotate. Contact Avail support for assistance with configuring this display.

WO # - Work Order number

Asset # - Asset number

Asset Type - Asset type, the dropdown will display different asset types that the user can select.

Open Date/Time - The date and time when the WO was opened. The default sort order of the form is by work order open date and time.

Down Time - This calculates from the Out of Service Date and Time entered on the Work Order.

Work Description - Automatically populates from the description entered when WO was created. 

Employee - This will populate when the tech clocks into the WO.

Time Started - Automatically populates with the date and time the tech clocks into the Work Order.

Oper Code - Displays the Operation Code chosen by the technician when clocking in. 

Completion Status - Completion Status displayed on the main form can be set up via this form once a wo is selected under the Basic Info tab once clocked in. It reflects the status of the work order and is strictly informational. See samples in drop down. Status codes are customizable.

Sort - Click the small filter funnel to the right of some columns to fine tune search. Click option/s to narrow search. Filtering for more than one heading at a time is possible.
Search - To locate a specific work order, type the desired work order # into the Search field.

NOTE: Only users that have clocked into a WO via the paperless Work Order Assignment form will appear in the highlighted columns. Once the WO is closed it will auto refresh and completely remove the WO from the display.

Configurable Columns

This feature supports configurable columns, allowing agencies to customize which columns are displayed and how they appear within the Work Order Interactive Display grid. Configuration is applied at the agency level and must be completed by support. Contact support to have your agency’s columns customized.

The available configurable columns for selection are (12 max):

  • Work Order #
  • Asset #
  • Asset Type
  • Priority
  • Open Date/Time
  • Down Time
  • Work Description
  • Assigned To
  • Employee (Clocked In)
  • Time Started
  • Oper. Description
  • Oper. Code
  • Comp. Status
  • Est. Time
  • Elapsed Time
  • Repair Type

Clock In/Out

Clock In/Clock Out button is strictly informational and not interactive. Once clicked it will display which techs are currently clocked in for labor tracking.

Once clicked the default is to show only technicians who are logged in. Form displays the tech’s full name, work order #, the labor operation code the tech clocked in with, the description of the labor operation code, and the date/time started. ​

Clicking the plus sign next to the full name displays the tech's short name as set up in the HR Personnel card.

Accessing Tire Information

You can now access Tire information directly through the Work Order Interactive Display

To do this, open a work order that is associated with a vehicle that has tire positions configured. 

If authentication is required, enter your Employee ID and PIN to continue. 

Once the work order is displayed, the Tires button will be available and selectable. The number shown on the button reflects the number of tire positions currently configured on the vehicle.

The Tire button is only visible when certain conditions are met:

  • The user has permission to access Tire Maintenance
  • The work order is associated with a vehicle
  • The vehicle has installed tires

Selecting the Tire button opens a pop-up window that contains the full Tire Maintenance form. From this pop-up, users can perform all standard tire-related actions, including:

  • Installing or removing tires
  • Rotating tires
  • Updating tire details such as tread depth

To help maintain clear tracking, the system automatically pre-fills the Remarks field on all the tabs (except Info) with the work order number for quick reference, and when accessed through Daily Work Orders or the Interactive Kiosk (technicians entering with a PIN), the Service Employee field is also pre-filled with the current user, ensuring all tire maintenance actions are properly associated with the correct work order and technician.

Security Functions and Permissions

The Permission that governs the Work Order Interactive Display form is in HR > Positions > Edit Position section and is located in ETMS: System Administration > Kiosks > Transit Asset Kiosks > Work Order Interactive Display.
