Work Order Assignment

Overview

The ETMS Work Order Assignment feature allows maintenance supervisors and staff to assign, manage, and track technician assignments across active work orders. This module is designed to streamline technician scheduling and provide better visibility into workforce utilization, replacing legacy ERP assignment forms with more robust and filterable tools.

The ETMS platform replaces older ERP tools such as 'Who's Clocked In' and legacy assignment editors. ETMS offers better filtering, tab separation, assignment visibility, and read-only status view

  1. Supervisor assigns technicians to Work Orders (WO) for completion
    • Assignment is informational and does not prohibit daily work
    • More than one technician can be assigned to a WO
  2. As Work Orders are completed, technicians move on to their next assignment as seen via Work Order Assignment. Assignments made via this form are visible in other forms such as Daily Work Order and Work Order Interactive Display. 
  3. A technician is unassigned from a WO:
    • Manually by a supervisor
    • WO is updated and Status changes to Closed
  Navigation: ETMS > Transit Assets > Maintenance Management > Work Order Management > Work Order Assignment 

The user can also Search to locate the card. 

Assignment Tab

This section is used to manage technician assignments.

On this tab the following features can be used:

- Search Bar: Quickly locate a particular work order

- Quick Filters: Filter between Assigned, Unassigned, or All work orders

To see All work orders unclick either Assigned or Unassigned filter.

- Column Filters: Use funnel icons to refine search by field

Repair Type filter

Asset Type filter

Assigned To filter

Completion Status filter

- Column Sort: Sort each column in Ascending or Descending order (Up or Down arrow)

- Expandable Rows: Click '+' to see open date/time

Field Definitions

- Assigned To: Shows assigned technician to the particular WO

- Employee: Currently clocked-in technician

- Time Started: Time technician began work

- Oper Code: Labor operation code selected by technician

- Completion Status: Display-only field, shows WO status from Daily Work Orders

Right-Click Options

Right-click on a WO to access:

- Open Work Order Record (opens Edit form in new tab)

- Edit Assigned Employees (alternate way to access Assignment form; original way of opening the Assignment form is just clicking on the WO from the main list)

- Print Work Order (generates PDF)

Assigning a Technician

1. Click a WO to open the Edit Assigned Employee

2. In the Maintenance Employee dropdown select a technician. 

3. Click 'Add' followed by 'Save'

4. A confirmation message will appear. Click OK to confirm and get back to the WO list.

Multiple techs can be assigned to a single WO.

Employee Setup

If a technician is not listed in the Maintenance Employee dropdown when assigning:

1. Click the gear icon in the upper-right corner of the Assignment form.

2. This opens the Work Order Settings form.

3. Under the Employees tab, create a new employee by selecting the Add Maintenance Employee button.

4. Save by clicking the Save icon. The new employee now shows on the list of employees. 

Click the X in the top right corner to get out of the Work Order Settings form and return to the Work Order Assignments. 

On the main page Assignment tab, click on the WO that you want to assign an employee/technician to, select the Maintenance Employee dropdown. The newly added employee now will also appear in the Maintenance Employee dropdown when assigning.

Unassigning a Technician

Manual Unassign

- Click on the WO

- Click trash can icon next to the technician you want to unassign

- Confirm deletion

Automatic Unassign

- When a WO is closed and updated, assignments are auto-cleared and removed. 

Edit Assignment Tab

This tab handles labor tracking. It is separate from the Assignment tab and is used to edit technicians' clock-in/out entries. Technicians can clock into a Work Order via the Daily Work Order form to track labor hours. This Edit Assignments tab allows supervisors to make changes to the labor clock in records.

Editing Clocked-In Records

Supervisors can modify the records by clicking on the Pencil icon:

- Work Order #

- Operation Code

- Time In

- Time Out

Entering a Time Out will clock out the technician and create a labor record. Save to apply.

Deleting Clocked-In Records

To remove an erroneous record supervisors can:

1. Click the trash can icon

2. Confirm deletion with OK

3. or Cancel to abort

Clock In/Out Status Tab

This tab provides a read-only view that lets supervisors see which technicians are currently clocked in or out. This is useful for assigning new work or understanding current labor allocations.

Search & Filter Features

As before, you can use the following tools in this tab:

- Search bar: Locate technicians by short name

- Quick filters: View only Assigned or Unassigned

This supports efficient labor tracking in real-time.

Permissions

Permissions are required to access and manage the Work Order Assignment card. These are set in the Positions card in the HR Suite.

- View: Grants minimum access to the page, permission to only view.

- Create: Enables adding and removing technician assignments.

- Edit: Allows editing labor records for clocked-in technicians.
