Preventative Maintenance Forecast and Checklist Generation [Video]

Overview

Navigation: ETMS > Transit Assets > Maintenance Management > Preventative Maintenance > PM Forecast & Checklist

The PM Forecast & Checklist page is designed to give users ability to generate inspection reports with options to create WOs, including Parts Lists and/or Inspection Items for all asset types.

The PM Forecast & Checklist page also allows users to select specific Preventative Maintenance (PM) inspection records for Work Order generation. Location - On Road, Asset Type - Vehicle.

Quick Filter

The user can sort by any of the column headings or use the Quick Filter option.

Quick Filter - PM Due

Quick Filter - PM Past Due

Filter - Work Order Assigned

Selecting Clear Filter will clear the filter and show all the inspection records.

Inspection Record Expanded

When the user clicks the “+” icon next to a record, the system expands the row and displays a detailed panel containing additional information. These fields give the user deeper insight into mileage, hours, inspection history, and forecasted maintenance values.

Generate PMs

The PM Forecast & Checklist results grid allows users to select which PM inspection records will be used to generate Work Orders. Each eligible record has a checkbox on the left side of the grid. Users can select individual records or use the Select All checkbox to select all eligible records in the results.

To generate PM Work Orders:

  1. Review the inspection records displayed in the results grid.
  2. Select the checkbox next to each inspection record for which you want to generate a PM Work Order. Multiple records can be selected.

  3. To select all eligible records at once, select the checkbox in the grid header. Selecting it again clears all selections.

  4. Review the selection count displayed above the grid. The count updates to show how many records are currently selected.
  5. Click Generate PMs. This button becomes available once at least one eligible inspection record is selected.
  6. The Create PM Work Orders confirmation window opens, displaying the number of Work Orders to be generated and summarizing the selected PM options. The number of Work Orders matches the number of selected records.

  7. Click Start to generate the Work Orders, or Cancel to return to the results grid without generating them.

Once the process is complete, the selected inspection records are updated with their newly assigned Work Order numbers and show lock icons instead of checkbox now. Records that were not selected remain unchanged.

NOTE: Inspection records that already have an associated Work Order display a lock icon instead of a checkbox and cannot be selected for Work Order generation.
NOTE: To generate Work Orders for all eligible inspection records, use the Select All checkbox before clicking Generate PMs. This produces the same results as the previous functionality, which automatically generated Work Orders for all eligible records.

Open Work Orders

To open a WO right click on the inspection record and select Open Work Order Record. The WO record will open in a separate tab.

Open Employee Assignment

To open an Employee Assignment right click on the inspection record and select Open Employee Assignment. The Work Order Assignment page will open in a separate tab.

Excel Export

To export the results grid into Excel spreadsheet, select Excel Export. If the grid was filtered, the Excel Export option will export all records.

NOTE: Selecting individual inspection records for PM Work Order generation does not affect the Excel Export functionality. The export continues to include all records in the results, regardless of whether their checkboxes are selected.

Print

To print ALL PMs in the grid in one PDF, select the Print icon.

The system will generate and download the PM PDF to the user’s Downloads folder. From there, the user can move or save the file to a preferred location, then open the PDF to review and print as needed.

NOTE: Optional behavior to automatically open downloaded documents to a Print Preview can be configured. This will automatically open PDF and TXT documents to your browser’s print dialog after selecting download and/or print. Reach out to your Support Representative to enable this functionality. Note that this will be the behavior for all prints of PDF and TXT documents for all users.
NOTE: A barcode will be included in the header of the PM PDF printout.

To print just one PM, right-click on the WO and select Download PM.  The system will generate and download the PM PDF to the user’s Downloads folder. From there, the user can move or save the file to a preferred location, then open the PDF to review and print as needed.

To see parts bar codes on the PDF, users should not forget to check the Include Parts List Bar Codes checkbox at the beginning of the process.

The parts bar codes will be included in the PDF.
