Overview
This feature allows entry of any vehicle defect reported by Operators in which the repairs can be deferred until a later date. The defect can be assigned and repaired when a Work Order is generated for that vehicle, whether it is an inspection or a general work order. A work order is not automatically generated for a deferred defect.
Selecting the Deferred Asset Defects card opens the page showing the list of deferred defects that defaults to Active defects.
A Defect is considered Closed (not Active) when:
- It is attached to a Work Order and the Work Order is closed
- It is manually closed by a user (this can only be completed when the Defect is not Attached to a Work Order)
Quick Filters
- Active (Defects that are active and not closed)
- Closed (Defects that are closed manually or the attached work order is closed)
- Work Order (Defects that are attached to a work order)
- Today (Defects created in the last 24 hours)
- Last Week (Defects created in the last 7 days)
Asset Type Filter
Filter the displayed defects by a specific Asset Type.
Only Asset Types that have a defect will be listed as options. In the example below only Vehicle defect exists.

The + icon can be clicked to expand additional defect details in the grid.
The fields displayed in this detail area change with screen size as columns are removed from the primary grid display.

Searching and Sorting
Defects can be searched by:
- Asset Number
- Problem Code (Code or Description)
- Work Order Number
Column headers can be clicked to change the sorting of the grid on:
- Date Reported
- Work Order (number)
- Asset Type
- Problem Code
Creating a Defect
If the User has the Create Asset Defect permission the Add Defect button is enabled. Selecting the Add Defect button opens the Add Defect page.
Reported On - The date it was reported on. This field defaults to Today but can be edited.
Reported By - This field indicates by who it was reported. The dropdown shows only Active employees. This can be searched by Employee Number or Name. This is an optional field.
Asset Type - This field indicates the Asset Type.
Asset Number - When the Asset Type is selected the Asset Number drop down is enabled. This drop down will change based on the selected Asset Type. This drop down is searchable.
Vandalism - This is the checkbox that indicates if the defect is a result of vandalism.
Problem Code - This field is enabled when the Asset Type is selected. Problem Codes are specific to Asset Type and defined in ERP forms (AM Problem Code and VM Problem Code). Problem code is optional when creating a defect but is required to create a work order. If it's not entered and the Create Work Order button is clicked, the user will get a warning message to create one.
Operator - This field indicates the Operator, an employee reporting a defect, and is filtered to all Active employees. This is an optional field.
Comment - This is an optional field and allows to enter more details about the defect.
After creating a Defect it is displayed in the list. In the lower example a defect was created for Equipment - Equipment now shows in the Asset Type filter.

Editing a Defect
The user can click the Pencil icon to view more details or Edit the defect if they have the Create Asset Defect permission. If the user does not have this permission the Save button is disabled in the edit form, but they can still view the details.
NOTE: Only Active Defects can be edited.
Deleting a Defect
A user can click the Trash can icon to delete a defect if they have the Create Asset Defect permission.
Defects can only be deleted if they are Active and not assigned to a Work Order. If a defect cannot be deleted, the Trash can icon is replaced with a Lock icon.

Creating Work Orders
If the user has the Create Work Order permission (sub-permission of Deferred Asset Defects) the user can click one or multiple check boxes in the Create WO column. The selected rows are highlighted in blue.
When at least one Defect is selected the Create Work Order button is enabled.

A Problem Code is required to create Work Orders from Defects. If a defect is selected and does not have a Problem Code the following warning displays.

Clicking OK then displays the Create Work Orders page.
A Location must be selected. Then clicking Create will generate the Work Orders:
- If multiple Defects are selected for a single Asset Number, only 1 work order will be generated, with both Defects attached.
- If a user wants a single work order per defect, they must create them one at a time for the same Asset Number, by selecting one defect at a time.
After clicking Create, the grid is updated with the new Work Order number on the selected Defects, and the following message displays.

Viewing Work Order
The user has to have the View Work Order permission (from Work Order Management) to be able to view work orders.
When they view the Defect details, the following link icon is displayed at the bottom.
Clicking this link icon will open the attached Work Order in a new tab. There the user can then see the attached Defects under the Defects button.
NOTE: Defects recorded in Legacy ERP forms will NOT be automatically integrated with this new feature. To take advantage of Deferred Asset Defects as described in this feature, the user must only use the new form. The old forms will be deprecated.
Permissions
The following permissions allow to view and create asset defects:
View Asset Defects - Allows only to View deferred asset defects
Create Asset Defects - Allows to Create or Edit deferred asset defects
Create Work Order - Allows to select defects and generate Work Orders from the selected defects
