Vehicle Maintenance (VM) Creating PMs in Transit Assets

This article details how to implement scheduled Preventive Maintenance (PMs) for vehicles, components, and other assets in your system.

Inspection Planning

Procedure: The purpose of Inspection Planning is to implement scheduled Preventive Maintenance for Vehicles, Components, and other Assets.

PM Types
The first step in creating inspections is to select the card: PM Types. Here you will define the Preventive Maintenance (PM) parameters, whether by Miles, Hours, and/or Days, and specify the Class Code for the PM Work Orders which defines the GL codes used on the Work Order.

Inspection Id is the basis for the rest of the steps in creating PMs. A new Inspection ID is set up here by clicking the green check mark and adding the ID to the list or at Transit Assets/Settings/Misc Codes (VM) and choosing Inspection Id in the drop-down. All current Inspection types will be displayed if you click the drop-down:

 

The Inspection Type above will set the vehicles to be inspected every 6,000 miles with different work being performed with a designated list of tasks. In the screenshot above, the ‘Forecast’ vs. ‘Actual’ fields will provide a cushion of 600 miles. When the Miles Since from the last inspection reaches the forecast miles, Inspection Due will print on the Inspection Forecast Report and display in the Vehicle Master’s Inspection form.

PM Cycles
The next card to use will be PM Cycles. Here you will designate the order in which to perform different
inspection types. If inspections are set up for 6K, some inspection types will be used multiple times before a different inspection type is to be used.

Enter the appropriate information in the fields necessary for setting up the PM Cycle

TIP: In the example above, after the vehicle has had its 48000 mile PM, it will roll back to Inspection #1 after the next 6000 miles have elapsed.

Checklist Items

This third card is where you will create a detailed list of the tasks that will be performed on the vehicle
or component on a specific Inspection Type. After you have selected the Inspection ID, the Type is selected so the tasks can be entered.

Numbering Conventions

Some analysis should be considered before entering the items due to the way text fields are sorted. If the user chooses to enter the Item #’s sequentially such as 1, 2, 3, 4, and 5, etc., what will occur when sorted is that items 1 and 10 will be listed first before item 2 appears. This is because Access focuses on the first character of the field first regardless of the length of the characters in the field before it considers the second character in the field.

When choosing a numbering sequence, it is suggested that you allow for gaps between numbers for future expansion. Suggestion: (The first two digits indicate what sub-system of the vehicle is being worked on. Example: A/C, Brakes, etc.)

PRINT- Generates a report of the checklist items. Review the sort order.

COPY- Allows for easy duplication of an entire checklist from one Inspection type to another.
Open an Inspection ID. Click Copy and enter the Inspection ID and Inspection Type to copy the
selected checklist to the new ID.

Modify/Add PM Parts List

Use the Modify/Add PM Parts List is to provide a parts list which will assist the parts clerk in knowing which standard parts are always used on the inspection type.

TIP: This does not affect inventory levels in any way. Inventory levels will be affected by the parts issued either via bar code unit or manual entry into the Work Order system.

Select an Inspection ID and a Type. Click Setup to enter parts:

Click Clone to add this set of parts to another Inspection Type.

After the inspections have been created, they must be assigned to any asset (on the Vehicle Master or the
Asset Master) that will use the inspection. Once added, make sure the Last Done and the Miles (or Days)
Since are correct. If this is a new vehicle going into service and it has 1000 miles on it already when you
put that inspection on it, be sure to change the Miles Since to 1000. Otherwise, it will only clock the miles the vehicle goes AFTER you add the inspection to it.

Assign an Inspection to a Vehicle

Go to Transit Assets / Asset Inventory and choose the card: Vehicle Master. Choose the vehicle number and select Inspections. The All Inspections contains every PM that was created with the process above. Click the drop-down and choose the PM you wish to assign to this vehicle.

For this vehicle, 72, was chosen in the All Inspections drop-down. Now, when Assigned Inspections is clicked, this inspection will appear. Make sure the Last Done and Miles Since are correct. Click Reset to Zero, if this is transit preferred for inspections.
