Project managers or Finance team members can use this dashboard for high-level finance project tracking. This dashboard tracks the project and the total number of projects in each state with a primary focus on financial aspects of the project:
- Project Inception/Backlog
- Project Funding – Funded vs unfunded projects
- Project Status
- Procurement Open
- Procurement Award
- Partially expended
- Fully Expended
Dashboard Elements
Active Projects report represents the total number of projects with an active status and a completion date that is blank or a date in the future.
Grant Money Allocated Funded report represents the total dollars of grant funding for all active projects. This data is the sum of the Funded field from the Project Funding tab in the Project Tracking Master.
Spent vs Total Budget report represents the total amount of Costs (invoiced through Accounts Payable or Purchase Order) for all active projects.
Projects Completed report shows the total number of projects with an inactive status.
Funding by Project chart shows the Amount Funded vs the Project Budget for the Top Twelve projects based on project budget. All others are summed in the Other category. This chart can be filtered by Project Budget or Funded.
Grant Money "Funded" vs Available chart shows the amount of grant money used (drawn down) vs the total amount of the grant money awarded for the Top 12 Grants. All others are summed in the Other category. This chart can be filtered by Total Value of Grants and Grant Money on Project.
Project Spent vs Budget chart shows the amount of money spent on a project vs the total amount budgeted for the Top 12 Projects. All others are summed in the Other category. This chart can be filtered by Amount Budgeted and Amount Spent.
Completed Project by Estimated Cost vs Budgeted vs Spent chart shows the amounts of money estimated vs. budgeted vs spent on the Top 12 closed projects. All others are summed in the Other category. This chart can be filtered by Budgeted, Spent, and Estimated Cost.
Project Backlog table shows the Top 10 Projects based on user-selected dimension: Start Date, Projected Budget or Estimated Cost. When selected the new dimension results are displayed in descending order.
Projects with Grant Detail table shows the Top 10 Project Grant Details based on user-selected dimension: Line Item Amount, Line Item Used, or Line Item Remaining. When selected the new dimension results are displayed in descending order.
Project Dollars Spent by Project table shows the Top 10 Project Dollars Spent based on user-selected dimension: Project Cost (Spent) or Project Budgeted. When selected the new dimension results are displayed in descending order.
Click to export the data to PDF.
Click the information icon by a panel to learn about its metrics and how the system calculates them.
Scheduler
The Scheduler button allows the user to schedule this report to go out in an email to, for example, a management department at any necessary frequency.
Enter the recurrence pattern (once, daily, weekly, monthly), start time and date, report period, and email recipient/address, check the Enabled checkbox, and click Save.
If you schedule a report, the calendar values are saved to the schedule and are adjusted by the difference between the current date and the date the schedule was made or updated. For example, if you schedule a report to run a week from today, the system adds 7 days to the date range specified when the report was run.
